How it works
A customer books on your Webflow site. FlowBookings records the appointment. Zapier picks it up and creates the matching record in Zoho CRM. Set it once, and it runs on its own.
Most of the time bookings flow into Zoho with new leads, new contacts, new deals. But it can run the other way too: a deal you mark Closed Won in Zoho can flip the booking's status back in FlowBookings.

A lead is an unqualified prospect: someone who's shown interest but hasn't been vetted or converted yet.
A contact is a qualified person you're actively doing business with, usually tied to a deal and an account. Zoho expects you to convert a lead into a contact once it's real, and that conversion is a deliberate step, not automatic.

A booking comes in, and the booker lands in Zoho as a lead matched to an existing lead if they've enquired before with their email, name, and service attached. Your team qualifies and converts from there. This is the Zap most businesses taking bookings from new prospects want.
Create or Update a Zoho Contact from Every Booking
New Booking → Create/Update Contact
For when bookers are already customers. Instead of a lead, this creates or updates a contact directly, matched on email so returning clients don't duplicate. Best when a booking means an established relationship, not a fresh prospect.
Approve a Booking When Its Deal Is Won
Zoho deal marked Closed Won → Update Booking Status → Approved
The reverse direction. Move a deal to Closed Won in Zoho and the linked booking flips to Approved in FlowBookings, so closing the sale and confirming the appointment happen together. One rule: once a booking is cancelled, rejected, or already completed, its status is locked, so this only acts on bookings still open.
How to set up FlowBookings and Zoho CRM
Here are the steps to build the integration:
1. Grab your API key
In FlowBookings, go to Dashboard → Integrations → API Key and copy the key. This is what lets Zapier into your account, so treat it like a password — don't paste it anywhere public.
2. Start a new Zap
In Zapier, hit Create → Zaps, search FlowBookings, and pick it as your trigger app.
3. Choose the New Booking trigger
Select New Booking. When Zapier asks you to sign in, paste your API key. It'll pull in a recent booking as sample data so you've got real fields to work with. No bookings yet? Make a quick test one on your Webflow site first.
4. Add the Zoho lead
Add an action, choose Zoho CRM → Create/Update Lead, and connect your Zoho account. Create/Update matches on email, so a returning enquirer updates their existing lead instead of spawning a duplicate.
5. Map your booking to the lead

Run the test and check Zoho. The lead should appear, or update cleanly if they already existed. Looks right? Publish.
7. Create contacts instead (optional)
If your bookers are existing customers rather than fresh prospects, swap step 4 for Zoho CRM → Create/Update Contact and map the same fields. Everything else stays the same. Use one or the other per Zap — don't create both a lead and a contact for the same booking, or you'll be reconciling them later.
8. Add a deal (optional)
Working bookings as opportunities? After the contact, add Zoho CRM → Create Deal: map price to the deal amount, the service to the deal name, pick your stage, and associate it with the contact. This makes it a multi-step Zap, which needs a paid Zapier plan.
9. Close the loop from Zoho (optional)
To have won deals confirm bookings: build a second Zap triggered on Zoho CRM → Deal in stage Closed Won, action FlowBookings → Update Booking Status → Approved. Store the booking ID on the lead, contact, or deal in the earlier steps so it can be mapped back.

What you need to know
A few honest edges before you build:
- Pick lead or contact per Zap, not both. Creating both for one booking leaves you with a lead and a contact to reconcile. Choose based on whether bookers are prospects or existing customers
- Match on email, or you'll get duplicates. Always use Create/Update, keyed on email. Plain Create makes a fresh record every time
- The deal Zap needs a paid Zapier plan. Contact plus deal is multi-step. Lead-only or contact-only runs on the free tier
- It's fast, not instant. Zapier checks for new bookings every 1–5 minutes on paid plans, up to 15 on the free one
- Reschedules don't update the record. The trigger fires when a booking is made, not when it changes. A rescheduled booking leaves the lead or contact untouched
- Status is one-directional and locked once final. Zoho can push a booking to Approved or Completed, but one already cancelled, rejected, or completed can't be moved again
Frequently asked questions
Does this cost anything extra?
Zapier integration is available on all FlowBookings plans with no extra charges. You'll need a Zapier account; the free tier covers the basic booking-to-lead Zap, and a paid plan comes in once you add deals.
Should bookings become leads or contacts?
Leads if they're new prospects you still need to qualify; contacts if they're already customers. Zoho keeps the two separate, so pick the one that matches your funnel.
Will it create duplicates?
Not if you use Create/Update, which matches on email.
Can it create deals too?
Yes. Add a Create Deal step after a contact and map the booking price to the deal amount. It's a multi-step Zap on a paid Zapier plan.
Can Zoho update a booking's status?
Yes. A deal marked Closed Won can set the booking to Approved — unless it's already cancelled, rejected, or completed, since those are locked.
What happens if a customer reschedules?
The Zoho record isn't updated automatically — the trigger only fires on a fresh booking.
