Why connect FlowBookings to WhatsApp

In much of the world, WhatsApp isn't one messaging option among many; it's the one. Customers who'd ignore an email and hesitate at a formal SMS will read a WhatsApp message without thinking, because it's where their friends, family, and favourite businesses already talk to them.

That makes it a powerful channel for the two moments that matter: confirming a booking so the customer feels reassured, and reminding them so they actually show up.

Connect it to your bookings, and both happen on their own, in the app your customers live in, with your business name on the message. For appointment businesses serving WhatsApp-first audiences, nothing else reaches people as reliably or feels as natural.

WhatsApp Business has rules

Worth understanding before you build, because WhatsApp is stricter than plain SMS deliberately, to keep spam out.

To send booking messages, you go through the WhatsApp Business Platform, using a provider like Twilio or 360dialog (the CSV's two routes) that connects to it and to Zapier. Two things follow from that:

You need pre-approved message templates. WhatsApp doesn't let a business message a customer with free-form text out of the blue. Any business-initiated message like a booking confirmation has to use a template that Meta has approved in advance. You write the template once (with placeholders for the name, service, and date), submit it, and once it's approved, you can send it automatically. It's a one-time bit of setup per message type, not per booking, but you can't skip it.

There's a provider account to set up. Through Twilio or 360dialog, you register a WhatsApp sender, which involves connecting a phone number and getting your business verified. More involved than SMS, and there can be a short approval wait.

None of this is hard once it's done, and the reach is worth it. But go in knowing WhatsApp is a set-it-up-properly channel, not a five-minute one.

You need to be collecting phone numbers

Same as SMS: WhatsApp messages need a phone number, and FlowBookings doesn't collect one by default.

FlowBookings' standard booking fields are name and email. To message customers on WhatsApp, add a phone field to your booking form so the number arrives with each booking (in the booking's custom form data). No number, no message.

So before any of the Zapier or WhatsApp setup, make sure your form asks for a phone number and ideally tell customers it's so you can message them about their booking.

A booking comes in, and the customer gets a WhatsApp confirmation using your approved template: "Hi [name], you're booked for [service] on [date]!" from your business sender. It lands where they'll actually see it, and feels personal.

Send a WhatsApp Reminder Before the Appointment

New Booking → Delay → Send WhatsApp Message
Using a Zapier Delay timed off the booking's start, this sends a reminder the day before (or hours before) via an approved reminder template. On the app your customers check most, a reminder here is about as likely to be seen as a message can be.

Booking Cancelled → Send WhatsApp Message
When a booking's cancelled, a quick WhatsApp confirms it and offers an easy way back: "Your booking's cancelled. Tap here to rebook when you're ready." Uses an approved template like the others.

How to set up FlowBookings and WhatsApp integration

Here are the steps to build the integration:

1. Set up your WhatsApp sender and template

Through Twilio or 360dialog, register your WhatsApp Business sender (connect a number, complete business verification) and create your booking-confirmation message template with placeholders for the customer's name, service, and date. Submit it for approval and wait for the green light.

2. Grab your FlowBookings API key

In FlowBookings, go to Dashboard → Integrations → API Key and copy the key. Treat it like a password and don't paste it anywhere public.

3. Start a new Zap

In Zapier, hit Create → Zaps, search FlowBookings, and pick it as your trigger app.

4. Choose the New Booking trigger

Select New Booking. When Zapier asks you to sign in, paste your API key. It'll pull in a recent booking as sample data to make sure your test booking includes a phone number, or you won't have the field to map. No bookings yet? Submit a test one through your Webflow site first.

5. Add your WhatsApp provider

Add an action and choose your provider's WhatsApp action: Twilio → Send WhatsApp Message or the 360dialog equivalent, and connect the account you set up in step 1.

6. Build the message

The To number must be in full international format — +14155551234. If your form collects numbers without the country code, add a Zapier Formatter step to fix them, or messages won't deliver.

7. Test it and switch it on

Run the test and check the message arrives on a real WhatsApp number. If it fails, check the number format and that your template is approved and matches what you're sending. Looks right? Publish.

8. Add the reminder (optional, high value)

Build a second Zap: New Booking → Delay by Zapier (timed before the appointment) → Send WhatsApp Message using an approved reminder template. The one that saves you from no-shows. The delay step needs a paid Zapier plan.

9. Add a cancellation message (optional)

Build a third Zap: Booking Cancelled → Send WhatsApp Message using an approved cancellation/rebooking template.

What you need to know

A few honest edges before you build:

  • Approved templates are required. Business-initiated WhatsApp messages must use a template Meta has approved. Write and submit yours before building the Zap, free-form messages to customers who haven't messaged you first won't send
  • You must collect phone numbers. WhatsApp can't message without one, and FlowBookings doesn't collect phone numbers by default. Add a phone field to your booking form first
  • Numbers need international format. + and country code. Add a Formatter step if your form collects them any other way
  • There's provider setup and cost. Through Twilio or 360dialog, you register a sender and get verified, and WhatsApp charges per conversation. Not free, and there's a short approval wait up front
  • The reminder needs a Delay step. No separate pre-appointment trigger exists, so reminders are timed with a Zapier Delay, which needs a paid Zapier plan
  • It's fast, not instant. Zapier checks for new bookings every 1–5 minutes on paid plans, up to 15 on the free one
  • Reschedules don't re-message. The trigger fires when a booking is made, not when it changes. A rescheduled booking won't send a fresh confirmation or shift a scheduled reminder

What happens if a customer reschedules?
No new message goes out, and any scheduled reminder isn't shifted. The trigger only fires on a fresh booking.
